Room Booking, Security Policy and Security Arrangements

Library rooms and space normally cannot be booked for events which are scheduled to take place when the Library is closed, except during the months of May through August. In these circumstances, or in the case of events which are scheduled to begin while the Library is open but extend beyond the Library's closing time, Queen's Campus Security will be hired to open and close the building and meeting rooms, as well as provide general security during the event.
Arrangements for hiring Campus Security must be made through Queen's Event Services, as part of the room reservation process. There is a charge for Campus Security's services. Further details must be obtained from Event Services (Tel: 613-533-2223).
Library Security Policy
- Campus Security personnel will arrive at the time the event is scheduled, to open the Library exterior doors as well as interior doors into the event area, as required.
- The event organizer will provide persons to be stationed at the exterior doors for monitoring access into the Library so that only participants in the event are allowed entrance.
- The Library exterior doors will be locked by Campus Security once the event is underway.
- Campus Security will monitor the building during the duration of the event.
- At the end of the event, Campus Security will be stationed at the Library Security Desk while guests are leaving and then will lock Library doors when informed by the event organizer that all guests have left.
- Campus Security will check the entire building to be sure all guests and organizers have left, and will lock any interior doors which were opened for the event.
- Campus Security are responsible for activating the building security system when they leave.
