FAQ for Booking Library Group Study Rooms

Login: Room Booking System

  • Who can book rooms?

    Current Queen's students, faculty and staff. Before logging in, you can scroll through the Queen's libraries, dates and time. You can also see which rooms are booked. To view rooms available for booking and to book a room you have to log in.

  • How many bookable hours do I get? Are there limits on how frequently I can book group study rooms?

    Each student and faculty member has a maximum number of bookable hours available for each academic term:

    Students 20 hours 3 hours
    Faculty 30 hours 5 hours
    Staff Unlimited 8 hours

    Your account is reset to your maximum allotted hours at the start of each academic term.

    Each student and faculty member has a maximum number of hours you can book in one day. The bookings can be in different rooms, as long as they aren't simultaneous. If you need more time for a group meeting, members of your group can use their accounts to add bookings before or after yours.

  • How to log in to the Room Booking System?

    Enter your Queen's Student/Staff Number, from the front of your student/staff card, in the pop-up box and click on the Submit button. The system will log you out if you do not use it for more than 5 minutes. To log back in, click on the Menu in the top left of the screen and click on Login.

    If you receive the message "Invalid student/staff number ", go to the nearest Library Circulation Desk and ask to verify that you are registered correctly in the database. If you are not in the Library database, please check with the Registrar's Office (if you are a student) or Human Resources (if you are a faculty member).

    Once you log in, the menu expands to give you these extra options:

    • My Bookings shows you a list of your current and future bookings & lets you print them out. It also lets you change the description of a booking, or delete it entirely.

    • Booked rooms lists the room numbers, descriptions and times of all the meetings scheduled on a given day (but no user IDs are shown for privacy, so use descriptions that your group can recognize). You can also print the list of booked rooms.

    • Find a Room lets you choose a time, date and library, then displays all the rooms that are available.

    • FAQ or frequently asked questions about the booking system.

    • Logout & Quit

  • How to Book a Room?

    • Select a Library: scroll through the Queen's libraries with bookable group study rooms using the arrow buttoms beside the Library name.

    • Select a date & time: scroll through the rooms by date and hour-by-hour using the arrow buttons at the bottom of the screen. Calendar Option: the date can be selected via a calendar by clicking on the "Calendar" button at the bottom of the screen.

    • Select a room: click on a room to pop up its booking schedule.

    • Make a booking: click on an available start time. In the schedule window, select the Duration of the booking (default is 1 hour) & enter a brief Description of the purpose.

  • Where are the bookable rooms?

    Rooms available for booking by students and faculty are indentified on the library floor plans. Rooms that are bookable, but Unavailable at a particular date and time, are coloured blue. Rooms Available for booking are coloured yellow. Booked rooms are coloured red.

  • What does it mean when a room is listed as "unavailable"?

    Any time slice in the schedule that is blue can't be booked. However, this can mean several things: it could mean that the building is closed or that you have used up all your available booking hours (for either that day, or for the semester).

    Click on any blue squares if you're unsure why they're blue, and the system will pop up a message telling you why you can't book the room at that time.

  • When are rooms available to be booked? What are the hours of operation?

    Rooms may be booked during the hours the library is open.

  • How far ahead can I book a room?

    You can normally book from start of term until the start of exams. If you need to book farther ahead, please contact the Library Circulation Desk in your Library.

    During the exam period you can book up to three hours per day.

  • How can I cancel a booking?

    You can cancel a booking by entering the My Bookings option from the Menu, clicking on the desired booking and clicking on the Delete button.

    You are strongly encourged to cancel bookings you do not plan to use so that others may use these time slots.

  • How can I change a booking?

    You can change the "Description" of your booking by entering the My Bookings option from the Menu, clicking on the desired booking and clicking on the Save button. To change the date or time, cancel the previous booking and enter the new one.

  • How can I print bookings?

    • My Bookings?

      Click on the My Bookings option from the Menu and click on the Print Friendly Version button. You can then click on the browser's Print button to print your bookings.

    • All Bookings on a Specific Date?

      Click on the Booked Rooms option from the Menu and click on the Print Friendly Version button. You can then click on the browser's Print button to print your bookings.

  • Do the group study rooms have digital projectors?

    Most rooms do not come equipped with digital projectors.  However, portable digital projectors (for use with laptops) are available for 3 hour loan at the Stauffer Library and Bracken Library circulation desks: check availability of digital projectors in QCAT.

  • Can I use a Group Study Room that has not been booked by anyone, without booking it myself?

    If you find a room that's vacant, by all means use it. However, if somebody comes along who HAS booked it, you're out of luck. In any disputes over rooms, whatever's in the booking system wins.
