Making a Simple Correction Request

Request Based on an Authority Record

Most heading change requests are based on the information located in authority records, and the Toolkit is set up to take advantage of that.

To initial a change request, simple click on the "red cross" button.

If the active (top) record in the Cataloguing module is an authority record, the Toolkit assumes that you are interested in making a correction request based on the information in that record. It then search each 4XX field in that record against the Voyager headings index, looking for bibliographic records that match see references. It is not necessary to have the references coded as "old headings"; the Toolkit checks them all. It then brings up a report, listing any references that appear to be "interesting". The Toolkit will also pick up other bits of information from the authority record that might aid in the correction process. The dialog box will appear something like the one shown below.

This initial check only looks for rough matches; it does not make any attempt to match against tags, indicators and the like. However, the programs that make the actual changes will include checks of this kind.

The top half of the form deals with the old form(s) of the heading, and the lower half with the revised heading. Above the old heading, there is a phrase indicating how many headings are involved. This does not refer to how many bibliographic records need to be changed, but rather to how many versions of the heading were located that require changes. Each old form of the heading is listed in a drop down menu.

If the old form of the heading is a geographic heading in a 451 field, the Toolkit also attempts to determine what the correct form of the heading should be if it is used as an indirect subdivision.

The new heading portion of the form takes the heading from the 1XX field of the authority record. Again, if a geographic heading is involved, the Toolkit attempts to determine the correct form when the heading is used as an indirect subdivision. If the authority record contains a 781 field, then the Toolkit will use that information by preference.

If the Toolkit does not detect any possible conflicts with the references in the authority record, it will bring up a blank form you can then fill out manually to make your request.

Completing the Request

When the Toolkit brings up the correction request form, it has simply formatted the request for you to look at. You need to complete the process.

If the heading as displayed represents the change you would like to have made, simply click on the Correct one button, and the request will be sent to the queue to be processed.

More than one possible correction may be determined in reviewing the heading. If this is the case, then the request form will indicate that more than one possible heading exists, above the "Old heading" box. In the following example, the toolkit has detected three possible matches.

In this situation, you may review each heading by using the drop down menu.

You may review each correction individually, hitting the Correct one button each time, or you may use the Correct all button to approve them all at once.

As each heading is approved, it is removed from the list until they are all approved.

If, for some reason, you do not want to make this correction, hit the Clear button to erase the form.

If, after making a correction, you wish to add another correction, you may leave the form up, switch to the Voyager cataloguing module, and then locate another authority record. Bring the form to the front again, and then click on Read authority.

If you have used the Toolkit to verify a bibliographic record, you may also use this form to retrieve the information from a BAM report. Highlight the appropriate heading in the report, and then use the Get from BAM button to initiate the request.

The correction automatically sets certain parts of the change request, based on the type of authority you are using to make your request. To see these default settings, and to fine tune them where necessary, click on the Send this to 'special form' button.

Final Stage of Correction

Making the correction request does not actually result in the immediate change of the heading. The request is sent to a queue, along with all of the other requests that people make. Periodically, this queue is reviewed, and the requests approved (or not) for the correction process.

Once the requests have been reviewed, another program is run "in house" by one of the librarians responsible, and the corrections are then made in the database. The frequency with which this program is run will depend on how many requests are sent to the queue. If necessary, this process could be done daily.

A series authority can be used to base a request as well. With information from the authority record based on these fields and other information from the record. (Note that the diacritic will be translated from ä to \fa within the request screen).
