Some years ago, the Art Library undertook a project to create brief catalogue records for the Art Exhibition Catalogues that they receive.
These records use regular MARC tags, but are very brief. They contain the following elements:
These works have the location code ar,excats, and a call number phrase, as follows:
Shelved by pub. info. City Gallery Year.
These records were imported from a PC File. Since then, records were added directly in first the NOTIS and then the Voyager databases.

These records interfile with the rest of the Queen's Library catalogue. The headings providing access to the records should be updated to match established headings wherever possible. The following information has been provided to assist with the updating of these records.
A project is being undertaken to look for catalogue copy for these titles, and to update them where possible. For more information on how this material is now being handled, see Art Exhibition Catalogs. In the interim, watch out for the following problems.
Since the brief records were created by project staff, outside of the Queen's database, none of the headings were checked to match the established headings. In addition, some records contain variant headings for the same heading; for example, a record may contain the name of a gallery and the acronym for that gallery. When updating these records, make sure to delete any "duplicate" access points. Where appropriate, add the acronym to the authority record for the established heading.
Many of the Gallery names are preceded by the place name. Make sure to check the indexes for variants of this type.
Some of the records contain only the subject headings:

Delete this second subject heading, as it is not very useful to the patron.
Some subject headings combine multiple places; separate these subject headings into separate subject headings where appropriate, e.g. Painting |x Canada |x United States becomes Painting |z Canada and Painting |z United States.
In some records, multiple subject headings are combined in a single tag. For example, Decorative arts |x Sculpture |x Pottery should be divided into separate subject heading tags.
Personal name and corporate bodies used as subjects were transferred into 650 tags; these tags should be corrected to 600 and 610 fields.
Add the subject subdivision |v Exhibitions to any subject heading which does not already have it.
Added entries for personal names will include the appropriate subfield codes. Correct those instances which affect filing (e.g. Bayer, Fern, 1949- should be corrected to read Bayer, Fern, |d 1949-).
In addition, please watch out for duplicate records. Some brief records seem to have been loaded twice. In other cases, a brief record was loaded for a title we have already fully catalogued. Direct problems to the librarian responsible for cataloguing Art.
