The Documents Library purchases a large number of microfiche titles from MICROLOG. They also receive catalogue records which are imported directly into the Queen's database.
Over the years, a number of problems developed in the loading of these records. In 2004, all existing MICROLOG records were deleted from the database, and replacement records were re-loaded. In the re-loading process, the records were massaged to remove some of the existing problems.
These records are coded using the regular MARC record codes. However, there are certain inconsistencies and problems created in the database due to the manner in which these records are loaded.
Because these records are purchased and loaded in bulk, we do not include them in the One Record Policy used with material catalogued here at Queen's.
However, the access points for these records should be updated to conform to the established headings used in the Queen's database when problems are identified.

In many instances, the headings may simply be updated as appropriate. However, there are certain types of problems that commonly occur.
When the records were loaded, a certain amount of work was done to try and format the added entries appropriately. However, many headings will be missing subfield codes. These should be added if the record is being worked on. Similarly, there may be problems with the field indicators.
The MICROLOG records are catalogued in the language of the publication. The form of the heading used will also match the language of publication. This will mean that the French version of a heading established in English will be loaded into the Queen's authority file.
This should be converted to the established form of the heading.
If the publication is bilingual, the MICROLOG record may well include both the English and French forms of the name.
Make sure that the established form of the name is present, and delete the alternate form.
MICROLOG records do include subject headings. These subject headings appear to have been taken from the Library of Congress. As there was no way to check the accuracy of these headings, the records have been loaded in coded as "Other" headings.
When updating these headings to match the LC heading, make sure the indicator is coded 0 for LC. Please make sure that the heading is in the correct form; one set of records used the subject heading Aggregates instead of Aggregates (Building materials). When the LC subject heading Aggregates changed to Set theory, this caused a problem!
