Introduction

This memorandum was discussed and approved at the DL Unit Heads meeting of September 13, 1990. Amendments suggested at the meeting have been incorporated into the text below.

A discussion of items not in the OPAC took place at the Unit Head meeting of April 27th, 1990. It was suggested that "generic entries" be created in the catalogue for collections that do not require cataloguing of individual items. Examples given of such collections included the Canadian sheet music collection housed in Special Collections, Research reports and CSA publications. The Information/Reference Unit has also identified items that could be "briefly catalogued".

Proposal to Create Information Records

Definition:

An information record is a bibliographic entry that briefly describes a collection or a set of collections for which individual cataloguing of items is not appropriate because of the size or nature of the collection.

Content:

The bibliographic record will include title, imprint (if appropriate), name added entries (if appropriate), subject headings and notes on content, arrangement, finding tools and their location, etc. The copy holdings record will include the location and a classification number (but no cutter number). A universal message will be included if appropriate.
