Headings Indexes

Indexes containing the word "headings" include authority information.

Indexes containing both the words "staff" and "headings" include all authority information, whether or not there are bibliographic records containing the headings; indexes which used to contain the word "OPAC" (i.e. Name Headings Search, Title Headings Search, Subject Headings Search), contain only the authority information for headings which are used in bibliographic records.

NOTIS Record Number

There are two ways to search for a NOTIS record number in Voyager's staff search index.

  1. Search for the number using keyword.
  2. Search using the Original System Number index. This may be more efficient, especially if you are doing several such searches in a row.

Series Title Searches in the OPAC

When you search a series title in the OPAC, the references from the authority records are not shown. This is a result of the type of search that has been selected for the "Title" setting in the OPAC.

Importing Records

Corrupted Files

If you are attempting to import one or more records, and Voyager will display the import list, but refuses to import the records, it seems that somehow the file of records has been corrupted. This seems to particularly happen with BookWhere searches. The only solution discovered to date appears to be to go into Windows Explorer and delete the corrupted file, and then research and re-save the records. (BookWhere will create a new file by the same name, as soon as you export the first record).

Duplicate Detection

The import profiles are using the 010, 020 and 245 fields to check for duplicates. Please note that Voyager will not detect a duplicate record if the information in at least one of these fields do not match exactly. The presence of a qualifier at the end of the ISBN in the imported record and not in the record to be overlaid, will result in a missing match.

The import profiles are checking for matches in all of these fields; only one match is required to report a duplicate.

Authority Records

008 Field

When you click on the 008M field, the first subfield at the top of the list is Subdivision. In subject authority records, some will say Subdivided geographically indirect. These records indicate that you may add a geographic subdivision after the subject. Other subject authorities say Obsolete code or value not set. This seems to be the way that Endeavor converted the NOTIS records when they had question marks in the subfields. In NOTIS, this was an indication that the subject heading should not be subdivided geographically.

Subject Validation

If the 2nd indicator of a subject heading is coded as 4 ("Source not specified"), the heading will show up in the Authority Validation screen as Nonexistent Heading even if there is an authority record for the same heading with a 2nd indicator 0. Also, the authority record will not show up if you Retrieve Authorities, and if you right-click on the Row Label, you will be put into a search screen, where the heading will appear twice, once with LC subject headings in the right column, and once with Not applicable.

The solution is to change the 2nd indicator from 4 to 0. Note: Before changing the 2nd indicator, you should confirm that it is a valid LC heading; some of the 4's are Microlog inventions.

Location Information

The location information that displays in the OPAC is taken from the item record. The Temporary Location overrides the Permanent Location.

For Library-owned material that is intended for Reserve, the Permanent Location should be the stack location, with a matching item type. When Reserve receives the material, it will then assign a Temporary Location for Reserve.
