Introduction

The main entry of a work designates the person or body chiefly responsible for the intellectual or artistic content of the work. If more than one person or body is involved, the first named is assigned the main entry, and the additional names are given as added entries.

Additional names (both personal and corporate) will be given as added entries.

If no clear-cut author is determined, then the work is catalogued with a title main entry, and all authors are given as added entries.

These guidelines should be followed for all material catalogued here at Queen's.

When classifying material according to CODOC, different guidelines apply. The material should still be organized according to corporate body, whether or not that body is the main entry.

Personal Main Entry

There is a preference in AACR2 rev. for using a personal name as main entry where possible. If, for example, a report is requested by a corporate body, but written by a specific person (or several specific people), then the personal name is used as the main entry. The corporate body which requested the report would appear as an added entry.

The authors may also be listed in a note, as they may not appear on the title page. However, personal authors are still preferred as the main entry.

This is true for up to three personal authors. If more than three people are listed, then the work is catalogued as a title main entry, and the first author is listed as an added entry.

Corporate Body Main Entry

There are, however, cases when the corporate body is legitimately the main entry. These situations can be sorted into a number of categories, many of which apply to government documents.

The most common ones will be described below.

In case of doubt as to whether or not a work falls into one of the categories, treat it as if it did not.

Material of an Administrative Nature

AACR2 rev. rule 21.1b2 a) specifies that you should use the corporate body as the main entry if:

  1. [the material is] of an administrative nature dealing with the corporate body itself

The following, therefore, are entered under the corporate body as main entry.

Collective Thought

AACR2 rev. rule 21.1b2 c) specifies that you should use the corporate body for:

  1. those [works] that record the collective thought of the body (e.g. reports of commissions, committees, etc.; official statements of position on external policies)

AACR2 rev. rule 21.1b2 d) indicates you should enter under the conference:

  1. those that report the collective activity of a conference (e.g., proceedings, collected papers), of an expedition (e.g., results of exploration, investigation), or of an event (e.g., an exhibition, fair, festival) falling within the definition of a corporate body, provided that the conference, expedition, or event is prominently named in the item being catalogued.

Title Main Entry

If a work does not have a clear personal or corporate main entry, catalogue it as a title main entry. Make appropriate added entries for the personal and corporate bodies prominently listed on the work. This will be a common occurrence.
