Precataloguing Procedures for Continuations

Definition

According to AACR2 rev., a continuation is "A part issued in continuance of a monograph, a serial, or a series." Usually, each part physically resembles a monograph, in that it is capable of standing on its own on the shelf, and may even be produced as a hardcover volume.

As a result, each title must be assessed to determine how it will be treated as it continues to be added to the catalogue.

New Titles

Initially, the cataloguer's decision regarding local treatment must be communicated to the Serials staff so that the appropriate billing records, search, and processing procedures can be established. There are three different methods of handling this material.

  1. Added volume processed by Serials staff;
  2. Added volume processed by Cataloguing staff;
  3. Catalogue as a separate item;

Staff search for cataloguing copy for new serial titles on OCLC.

New titles with copy are routed to the group shelving to be catalogued by the Senior Cataloguing Assistants. Items lacking subject analysis will then be passed on to the appropriate subject librarian.

Items without copy are routed to Precataloguing for a follow up search on OCLC and BookWhere.

New continuation and serial titles are catalogued on a priority basis. "No hits" are not held for re-search. Title changes are handled similarly. Occasionally, it is necessary to change the decision regarding the treatment of the title, in light of information available upon the receipt of subsequent volumes. These changes should also be reported to Serials, and recorded in the authority record.

Added Volumes

Added volumes which require changes to the bibliographic record are placed by Serials staff on a labelled truck located near the Group C section of the Unit. The Senior Cataloguing Assistants catalogue these volumes, on a rotational basis. They are not sorted by subject.

Items with Copy

Staff search for copy for these new volumes on OCLC. When copy is found, they follow the procedures to append the MARC record to the Voyager database. The physical items are held in the Serials Unit until the record has been added to Voyager. They then add the location code in the copy holdings record. The items are then sent to the Cataloguing Unit for distribution.

Precataloguing staff sort these items by subject, and place them on the shelves for the Senior Cataloguing Assistants. Items with copy are completed by the LT5s; items lacking subject analysis have the descriptive and authority work done by the LT5s, and are then passed on to the appropriate subject librarian for completion.

Items without Copy

When no copy is found, Serials staff create provisional records in Voyager and place them on labelled shelves in the Precataloguing section, by date of search. Music scores are not held for re-search; they are routed to the Music Cataloguer at this point.

The "no hit" items are held for re-search. When copy is found, the items are routed to the group shelves, as described above. If no copy is found, the items are passed to the Senior Cataloguing Assistants for descriptive and authority work, before being passed to the original cataloguers.
