Atrium Bookings

Overview

The Stauffer Library atrium is available for booking for instructional programing related to poster displays.  Priority use of this area is for library purposes.

What is provided

  • Queen’s Departments/Faculty/Staff may request to book the atrium for Poster Displays related to academic programming.
  • Queen’s Departments/Faculty/Staff may request to book the atrium for special promotional events related to academic programming.
  • Bookings will be limited to minimize disruption to patrons, and at the discretion of the Office of the Vice Provost and University Librarian.
  • The sale of goods or services is not permitted in our facilities.
  • For Queen’s Users, there is no fee for the use of the space.
  • The Library owns 10 poster boards and 2 tables which may be booked in relation to the Atrium booking.
  • The layout of the boards and the tables is set between the pillars in front of the Information Service Desk. 
  • Maximum length of time for a booking is one week.

How to book a space

Email Library Business Services (library.business@queensu.ca) in order to request a booking.  Please provide the following information:

  • Name (event organizer)
  • Contact information
  • Purpose
  • Space and any required items
  • Date and time required
  • Requests must be one week in advance of requested booking date

Queen's Departments/Faculty/Staff who wish to book spaces for purposes which do not fit within the guidelines are advised to contact the University's Room Reservations Office (ext 32025) to locate alternate space. Persons outside the Queen's Community should contact the University's Event Services (613-533-2223).

Process after completion and follow up

  • Once the request has been received, reviewed and approved, the OVPUL will work with the event organizer to determine needs and triage to affected library staff for execution:
    • Setup and signage
    • Poster Board or Table requirements
    • Communication - Events that we can promote or partner in
    • Access to the space
    • Security requirements
    • Connection with Liaison Librarian if applicable
  • If there are any concerns about some of the recommendations, please reach out to the Director of Finance and Administration directly.
